When to book each supplier in Sydney
Book in order of scarcity, not excitement. Venue and photographer go first because there is exactly one of each on your date; cake and flowers can wait because a good supplier can usually still take the work.
Scarcity decides the order
A venue can host one event on a Saturday. A photographer can shoot one wedding. A caterer can often run two. A florist can fill many orders in a week. That difference — not the size of the invoice — is what should set your booking sequence.
A workable NSW sequence
These are typical lead times for Sydney and regional NSW. Peak season, long weekends and December compress all of them.
- 9–12 months out: venue, then photographer. Both are single-booking suppliers
- 6–9 months: caterer, and celebrant if you need a specific person
- 4–6 months: music or DJ, and any marquee or major hire
- 2–3 months: cake, styling and florals, transport
- 4–6 weeks: final numbers to the caterer, seating, run sheet
- 2 weeks: confirm bump-in times, access and parking with every supplier
The lead time nobody asks about
Bump-in. Venues with stairs, lift access, loading restrictions or a hard finish time will change what a caterer, florist and hire company can physically do. Ask about access windows early — it is the constraint most likely to force a late, expensive change of plan.
Deposits and what they should say
A deposit should buy a named date, a named service and a written cancellation position. If a supplier will not put the date and the inclusions in writing, that is the answer to whether to pay.
- The exact date, arrival window and finish time
- What is included, and what is charged as an extra
- The cancellation and postponement terms, in dates and amounts
- Whether the person you met is the person attending
